  1. Common Collaborative Group Goal: List the goal you have selected to work on as a group over the next 2 weeks. To organize and execute a Neighborhood Clean-Up Day in Gloucester, VA on 11/30/24. The objective is to recruit at least 15 volunteers, collect and dispose of at least 20 bags of trash, and clean a designated area of 200 square feet. The project will be planned and promoted via social media, flyers, and word-of-mouth over the next 14 days.

Week 1: Planning and Promotion

  • Day #1: Initial Meeting (1 day)
    I will organize and host a zoom meetup online, where I will introduce the project for everyone, list the tasks and delegate them, and introduce a tentative timeline.
  • Day #2: Recruitment of Volunteers (3 days)
    Volunteers are the lifeblood of the endeavor. They stem the brunt of the project. Jordan Lee will design sign-up sheets (physical and online) and reach out to schools, community organizations, and other local groups to recruit a minimum of 15 volunteers.
  • Day #2: Promotional Material (2 days)
    To market our efforts, we will design advertisement materials, such as flyers – both digital and hard copies -, social media posts, etc. Taylor Smith will be responsible for this, and also for the active promotion of the material through various community channels.
  • Day #3: Organizing Supplies (3 days)
    Casey Nguyen will be in charge of listing the required supplies, contact local businesses for donations, and purchase any additional items with funds from within the budget.

Week 2: Final Preparations and Event Execution

  • Day #8: Mid-Point Check-In (1 day)
    I will create a progress review to ensure everything is on track and we are not having any unsurmountable delays or bottlenecks. This will be done via zoom meetup.
  • Day #9: Distributing Supplies and Assigning Roles (2 days)
    We will have kits with material and instructions for our volunteers. Casey Nguyen is in charge of preparing them, while Jordan Lee will assign those workers to their areas and instruct them of what exactly they have to do.
  • Day #10: Final Promotion Push (2 days)
    Taylor Smith will send out last minute refreshers via Social Media, phone, and face-to-face communication.
  • Day #12: Event Day (1 day)
    – Morgan Davis will set up a meeting point for volunteers and supplies.
    – Volunteers will collect trash in assigned areas (Jordan Lee & Morgan Davis).
    – Casey Nguyen will ensure the trash gets transported to its disposal site.
  • Day #14: Post-Event Wrap-Up (1 day)
    I will gather feedback from volunteers and team members, debrief everyone on the outcomes of the event, and discuss potential improvements. This will be done via zoom again.
  1. How will you interact with other team members? What are your collaboration strategies? Collaboration strategies or approaches can include in-person meetings, active listening, phone conversations, organization, sub goals, etc.

We will stay connected via digital meetings and daily group chats for updates; if an urgent matter arises, we will launch a brief phone call for any urgent matters that arise along the way.  Our teamwork approach involves listening during our talks and setting subgoals for each stage of our project; we will keep track of deadlines via Google Calendar. Feedback sessions will help us stay in sync throughout the process. We will try to catch up as much as possible in person before, during, and after the event day to ensure everything runs smoothly.

  1. What potential collaboration tools do you plan to use to help reach your team goal? Collaboration tools can include Google Docs, Monday, Zoom, Skype, Smartsheet, Microsoft Teams, Slack, Microsoft 365, etc.

We intend to utilize Zoom for our online meetings and rely on Slack for daily chats and timely updates among team members. Google Docs will be used for sharing and working together on documents like promotional materials. Progress reports will be crucial to our workflow process, as they help keeping track of deadlines and schedules through Google Calendar, to ensure everyone stays on track towards achieving our objectives.
